Move to a lower plan, cancel a subscription by returning to Free, undo a scheduled downgrade, and the rules on pausing and refunds.
Goal
Pay for less: move a workspace to a lower plan, or stop its subscription entirely.
Cancelling means moving to Free
To cancel, downgrade the workspace to Free. The workspace and its data stay, on the Free plan's limits. Cancellation is done on Billing & Plan, not in the billing portal.
Add-ons are separate subscriptions and are cancelled one by one (procedures / manage add ons).
Steps
- Open Management > Billing & Plan.
- Click Downgrade on the lower plan: Pro, Starter or Free.
- A dialog may offer to keep your plan at 25% off: for 6 months on monthly billing, or on your next renewal on annual billing. Choose Keep my plan, 25% off to stay, or No thanks, continue. The offer is not shown again for a while once accepted.
- Choose when the change takes effect:
- At the end of my billing period: you keep your current features until the renewal date, then move down. Nothing is refunded.
- Immediately: the change applies now. The unused time becomes a credit on your account for future invoices. It is not refunded to your card.
- Review What changes: the features that turn off, and any audits or members above the new plan's limits.
- Click Confirm downgrade.
Your billing cycle stays the same: a monthly plan stays monthly, and an annual plan stays annual.
What happens to your data
Nothing is deleted. Audits, samples and members above the new limits stay readable, but you cannot create more until you are back under the limit. Features the lower plan does not include are locked, and their content stays stored.
Changed your mind
A scheduled downgrade shows a banner on Billing & Plan: "Your workspace will move to {plan} on {date}". Click Keep my current plan to cancel it. Nothing changes and you are not charged again.
Only one downgrade can be scheduled at a time. To pick a different plan, cancel the scheduled downgrade first.
Pausing a subscription
Pausing is not available yet. It is on the public roadmap.
Until then, the closest option is downgrading to Free at the end of the billing period. Your data stays, and you can upgrade again whenever you need to.
Refunds
Payments are not refunded. The 14-day Pro trial is there so you can try CheckFox before paying. If you have a real problem with a payment, contact support: refunds can be granted case by case.
Common pitfalls
- Downgrading the wrong workspace. Each workspace has its own subscription. Check the workspace switcher first.
- Choosing "Immediately" to get money back. It gives account credit, not a refund. If you are leaving, At the end of my billing period lets you use what you already paid for.
- Beta workspaces keep a special free plan. Their plan is changed through Contact Sales, not by self-service.
- Deleting your account while you pay for a workspace asks you either to cancel its subscription or to hand billing to another Owner or Moderator.
